Erasmus+ Student Mobility for Studies (for 2020-2021 Academic Year)

​​​The current announcement is the ONLY call for ERASMUS+ STUDENT MOBILITY FOR STUDIES for the whole academic year of 2020-​2021.

All the students who want to join Erasmus mobility during 2020-2021 Academic Year must apply to this call, considering there will NOT be another call for spring 2020-​2021.

Undergraduate and graduate full-time students of ŞEHİR can benefit from Erasmus study mobility as long as they meet the below conditions and submit their applications by the deadline stated on this call:
  • Undergraduate students must have at least 2.50 / 4.00 cumulative GPA and graduate students must have at least 3.00 / 4.00 cumulative GPA in order to be eligible to benefit from the Erasmus grant.
  • Students at their prep year are not eligible to apply for this call, while students at their first year of studies are.
  • The students who benefited from Erasmus study or placement mobility before can also apply to this call. However students have to make sure that the total length of mobility, with or without grant, at each level (undergraduate or graduate) -no matter the type of mobility- should not exceed 12 months.

IMPORTANT NOTE: Students who freze their semester can not take part in Erasmus+ Study Mobility.

As stated in the application form, don’t forget to upload your official transcript (not LMS version). Applications that are submitted via e-mail or hard copy and submitted after the deadline WILL NOT BE EVALUATED!

Following the application deadline, ŞEHİR International Relations Office will make the eligibility check for all the applications. Eligible applicants will be announced and expected to sit the ŞEHİR English Language Test (SELT) organized by ŞEHİR School of Languages on March 20, 2020. SELT will consist of 80 questions of multiple choice. Failure to take SELT or obtaining a score below 65 will result in TERMINATION OF YOUR APPLICATION PROCESS.

After you take SELT and your score is calculated by ŞEHİR School of Languages, ŞEHİR Erasmus Commission will evaluate your application on the basis of the following criteria:
  • ​Academic GPA (50%)
  • ŞEHİR English Language Test (SELT) Score (50%)
  • Undergraduate / graduate level quotas
  • Departmental quotas
  • Previous participation in the Erasmus Programme within current study level: -10 points (out of 100 for each participation in Erasmus mobility for studies or traineeships in the same study level) 
  • Disadvantaged students (The statement from a doctor or other relevant authority confirming the special needs should be submitted to the Erasmus Office during the application period): +10 points
  • Participation in Erasmus programme in the country of nationality: -10 points
  • Martyrs’ and Veterans’ relatives: +15 points (for Turkish applicants only)
  • Under the 2828 coded law of Social Work, students whose needed protection, care or sheltering: +10 points (for Turkish applicants only)
  • From the students who did not submit the abandonment letter to confirm his/her attendance after the given time: -10 points
  • For each participation in any Erasmus+ programs within current study level: -10 points
  • For the students who got selected: Not attending the required orientation/meetings organized by the University without an official excuse (applicable to the next application of the student) -5 points
  • For the students who have not participated SELT without an official excuse (applicable to the next application of the student) -5 points

After the evaluation, all eligible candidates will be placed in a partner university.

As a result of this call, ŞEHİR Erasmus Commission will determine 30 students as Erasmus+ mobility selected candidates. All the other eligible applications will be placed as Erasmus+ mobility wait-listed candidates based on the departmental quota. Wait-listed student list will be taken into consideration in case of any cancellations on the main list, as well as, any quota additions based on the budget availability.

ŞEHİR made a grant application to the Turkish National Agency in February 2020. Exact amount of grant allocated to our university will be known only after the Turkish National Agency evaluates all the applications and inform the universities about the results in the summer 2020.

Therefore, please note that being selected as an Erasmus student exchange candidate at ŞEHİR does not mean that you will definitely be able to go on exchange mobility. The final list of the students benefiting from the Erasmus study mobility will be subject to the following:
1) Announcement of the results of ŞEHİR’s grant application to the Turkish National Agency.
2) Countries of destination students prefer to go, considering there are three different groups of countries according to their cost of living (Please refer to the TABLE A: ERASMUS GRANTS ACCORDING TO THE COUNTRY OF DESTINATION below).
​3) In order to make more students from different departments benefit from the available grants, Erasmus Commission applies the principle of undergraduate/graduate level quotas and departmental quotas as stated above for the selection of the students.

Erasmus student mobility for studies is carried out in the framework of prior inter-institutional (bilateral) agreements between home and host institutions, both of which must be holders of an Erasmus Charter for Higher Education.

To ensure high-quality mobility activities with maximum impact on the students, the mobility activity should respond to student degree-related learning. The study period abroad must be part of the student’s study program at ŞEHİR to complete a degree at undergraduate or graduate level.

If you are doing a double major please note that you can only use one of your majors to apply for Erasmus study mobility and you will be subject to your selected major’s departmental quota and available Erasmus bilateral agreements. If you are doing a minor, please note that you cannot apply from your minor program.

You will make 3 university choices on the application form in order of preference. While making the allocation of the students based on the available spots, ŞEHİR Erasmus Commission will give priority to the students whose department has the bilateral agreement with the corresponding department in the partner university over those students whose department does not have a bilateral agreement with the relevant department in the same university.

For partner universities, where language of instruction is predominantly the native language of the country, not English, applicants with additional knowledge of that language will have priority over those without any knowledge of that specific language in the placement process. If you are applying to be placed in a university where you will be studying in a language other than English, you will be asked to provide a document to ŞEHİR International Relations Office showing your level of language proficiency in that language. The duration of mobility is between 3 and 12 months within the same academic year, which may correspond to 1, 2 or 3 semesters regarding the educational system of the country of destination. All the mobility activities must be ending by 30 September 2020. Students should be able to complete 30 ECTS credits of course load for each academic term of mobility.

IMPORTANT NOTE: You will have three options in the application form regarding the time of your mobility: fall term, spring term, and full academic year. You can pick only one of these options. Failing to do so, will make your application ineligible. You will be able to change your term again after the result announcement.

Please note that, ŞEHİR Erasmus Commission may reserve the right to send the students on a semester basis in order to use the available grants more efficiently by making more students benefit from it. Your preference of “full academic year” option will not be a determining factor in your selection as an Erasmus mobility candidate.

Erasmus students will be granted according to the study destination if they would like to get grant. Grant payment is subject to the amount of applications received, potential destination of the applicants and availability of funds from the Turkish National Agency. Please note that Erasmus grants are only contribution, meaning may not suffice for all your expenses and students are responsible for their own travelling costs and living expenses during the exchange

Amount of monthly grants is announced by Turkish National Agency according to the cost of living in the country of destination, grouped in three categories:

Total amount you receive is calculated on the basis of months and days you actually spend in exchange.

The grant is usually paid in two instalments:
  • ​The first installment (80% of the total amount) is paid within 30 days of signing the mobility grant agreement which has to be signed by student and ŞEHİR.
  • The remaining 20% is paid after the participant returns and upon proper delivery of all the required final mobility documents. This second installment will not be paid until all the required documents are submitted.

IMPORTANT NOTE: You will not be able to receive remaining 20% of the Erasmus grant if you cannot receive satisfactory marks in 2/3 of the courses that you take at the host (partner) university.

Students who are entitled to receive an Erasmus grant may abandon their right to receiving the grant. Or eligible applicants may benefit from Erasmus study mobility through “without grant option” by answering the relevant question on the online application form or by declaring to the International Office that they want to use this right after the announcement of results. Please keep in mind that there are strict deadlines to nominate you in a partner university. Students who participated in the program as non-granted Erasmus+ student may receive Erasmus+ grant while they are studying at the host university if the budget is available.

Erasmus students -whether or not they receive an ERASMUS grant- are exempted from paying fees for tuition, registration, examinations and access to laboratory and library facilities at the host institution.

Additional grants are available for students with financial needs who wish to participate in Erasmus+ programme and where participation would not be possible without extra financial support. This part is only applicable to students who hold Turkish citizenship.

Students whose parents or themselves are receiving an allowance within the scope of the Article 2 of the Law on Encouragement of Social Assistance and Solidarity (29.05.1989 tarih ve 3294 sayılı Sosyal Yardımlaşma ve Dayanışmayı Teşvik Kanunu) can benefit from the opportunity of additional grant for economically disadvantaged people.

Economically disadvantaged students who are selected for Erasmus+ Study Mobility will be paid an extra grant of 100 € per month, in addition to the amount of monthly grant specified in the grant table.

In order to benefit from the additional grant, the selected student must apply to Erasmus Office to submit the document indicating that he/she receives an allowance within the scope of the above-mentioned Law from the Provincial Directorate of Family, Labor, and Social Services (Aile, Çalışma ve Sosyal Hizmetler İl Müdürlüğü).

Additional grants are available for students with special needs and health conditions wishing to participate in an Erasmus+ placement and where participation would not be possible without extra financial support.

The allowance is offered when disabilities or health conditions lead to additional mobility costs, which exceed the maximum grant allocations allowed, and which cannot be recovered from other sources. The grant covers approved actual costs.

Applications for the Additional Grant Opportunity for Students with Special Needs must be submitted before the the mobility.

Student’s application must include a statement from a doctor or other authority confirming the disability or health condition, its severity, the impact on the Erasmus+ mobility, additional requirements and additional costs to be met. A detailed estimate of costs is required.

The application should provide information on any other sources of financial support that the student receives and why this is insufficient to cover extra costs.

According to İstanbul Şehir University Instruction for Exemption and Adjustment Procedures Article 9, courses that have been taken by the University’s undergraduate/graduate students in another higher education institution’s program, in the capacity of special student or national/international exchange programs, shall be adapted. Grades regarding these courses are included in the transcript and added to the grade point averages.
