Erasmus+ Staff Mobility for Training (1st Call for 2018-2019 Academic Year)

​​​​Staff Mobility for Training is the area of activity which enables staff of higher education institutions holding an Erasmus University Charter (EUC) to spend a period of training between minimum consecutive 2 working days and maximum 2 months at a higher education institute​ or an enterprise in one of the EU member countries.
Aim of the activity is to allow the staff to learn and transfer new knowledge relevant to their field and to learn experiences and good practices of other institutions and develop practical skills required for their current job.
The sending institution and the receiving institution/enterprise must have agreed on the programme of the activities to be undertaken by the visiting staff member (Mobility Agreement) prior to the start of the mobility period.

Language training and attendance of conferences, seminars and workshops should not represent the majority of the total Erasmus-funded training days per sending institution and academic year (per single grant agreement).

Academic and administrative staff employed at İstanbul Şehir University can apply for staff training mobility. Applicants are expected to have knowledge of sufficient foreign language to carry out the activity.

1) Consult the Director of the Department/Dean of the Faculty for initial approval of your proposed mobility and absence (ensuring any work responsibilities can be covered).
2) Contact with the Host University and complete the "Training Agreement".
3) Submit your on-line application form through and upload your "Invitation Letter" and "Training Agreement" to the online system.

An Erasmus stay is possible in the following countries: Austria, Belgium, Bulgaria, Cyprus, Czech Republic, Denmark, Germany, Estonia, Finland, France, Greece, UK, Hungary, Ireland, Iceland, Italy, Croatia, Latvia, Lithuania, Luxemburg, Malta, Netherlands, Norway, Poland, Portugal, Romania, Sweden, Slovakia, Slovenia, and Spain.

Minimum consecutive 2 working days and maximum 2 months.

3. STEP: Choose your teaching mobility destination and click "Apply Now" button.
4. STEP: Complete the application form with the necessary information. Please kindly note that at the time of application, Invitation Letter and Training Agreement (signed and stamped by the hosting institution) must be uploaded to online system at the Checklist Section.
5. STEP: Submit your on-line application through the system by December 31, 2018.

At the selection stage, the following selection criteria will be taken into account. In case of an equivalency, the preference will go to those who never benefited from the mobility before.

1) Job experience at İstanbul Şehir University:
  • ​​< 1 year = not eligible to apply
  • 1-2 years = 1 point
  • 2-3 years = +3 points
  • 3-5 years = +5 points
  • > 5 years = +7 points
2) Erasmus Faculty/Department Coordinators at the time of application: +5 points
3) For each previous participation in the Erasmus Staff Mobility within KA103 (Erasmus+ Staff Exchange between the program countries): -5 points
4) For each previous participation in the Erasmus+ Staff Mobility within KA107 (Erasmus+ Staff Exchange between Program and Partner Countries): -2 points
5) Members of the Department/College/Institute taking part in the Erasmus+ KA103 program for the first time: +5 points
6) Participation in Erasmus programme in the country of nationality: -10 points
7) Academic/Administrative staff who have directly contributed to the ŞEHİR Erasmus+ exchange activities by finding new Erasmus+ partners from Europe: +5 points 
8) Disadvantaged staff (The statement from a doctor or other relevant authority confirming the special needs should be submitted to the International Relations Office during the application period): +10 points
9) Relatives of martyr or veteran (an official document must be uploaded to the online application system -only for Turkish applicants-)*: +5 points
10) Applying from an Administrative Department: +5 points

Maddesi uyarınca, 15/07/2016 tarihinde gerçekleştirilen darbe teşebbüsü ve terör eylemi ile bu eylemin devamı niteliğindeki eylemler sebebiyle hayatını kaybedenlerin eş ve çocukları veya malul olan siviller ile bu kişilerin eş veçocukları Erasmus personel hareketliliğine başvurmaları halinde önceliklendirilir.

All the mobilities must be completed until May 30, 2019.

For the 2017 project, our university has 6 quota for Staff Mobility for Training depending on the countries of destination participants prefer to go, considering there are four different groups of countries according to their cost of living.

  • ​Enterprise or any other institution that complies with the definition of an enterprise.
  • Training Centre
  • Research Centre
  • Higher Education Institute (it does neither need to be a partner higher education institute nor a higher education institute holding Erasmus University Charter) 
Finding the enterprise and the training program is under the responsibility of the staff. While finding a suitable place for mobility, it should be kept in mind that training program must be related to the working area of the staff.
Institutions/Organizations which are not suitable for Erasmus Staff Mobility:
  • ​EU institutions and agencies
  • Institutions that carry out EU programs and are funded within this context
  • National diplomatic representation offices at the host country (such embassies and consulates of Turkish Republic and nationality of the applicant)

Staff will receive an EU grant as a contribution to their costs for travel and subsistence during the period abroad. Compensation for subsistence costs will be paid on the basis of daily rates and depends on the receiving country. The Program Countries are divided into the four following groups.
GROUP 1: 144 euros per day for Denmark, Ireland, Netherlands, Sweden, United Kingdom.
GROUP 2: 126 euros per day for Belgium, Bulgaria, Finland, France, Greece, Iceland, Italy, Liechtenstein, Luxembourg, Norway, Austria, Poland, Romania, Czech Republic, Turkey (for incoming staff), Hungary, Cyprus.
GROUP 3: 108 euros per day for Germany, Latvia, Malta, Macedonia, Portugal, Slovakia, Spain.
GROUP 4: 90 euros per day for Estonia, Croatia, Lithuania, Slovenia.
Erasmus+ Selection Committee may prefer to send the participants for max. 4 working days according to the total number of applications and available grants.

Travel grants’ maximums are set according to the distance travelled at the following rates:

In order to use the budget more effectively, Istanbul Sehir University do not provide individual grant to the participants for the travel days.
Erasmus+ without Grant Option: Participants who are entitled to receive an Erasmus grant may abandon their right to receiving the grant or eligible applicants may benefit from Erasmus staff mobility through "without grant option" by declaring to the International Office that they want to use this right after the announcement of results.
Additional Grant Opportunity for Staff with Special Needs: Additional grants are available for staff with special needs who wish to participate in Erasmus+ programme and where participation would not be possible without extra financial support. In order to learn more about additional grant opportunities for participants with special needs, please get in contact with International Relations Office.

The rules pertaining to the dedication of grants and reimbursement of the travelling and visa expenses are as follows:
  • ​The daily/weekly grant which will be given to the staff that will benefit from staff training mobility covers expenses such as accommodation, food, communication, local travel visa and insurance. For those expenses no extra payment is made.
  • ​The maximum amount of daily/weekly grant which can be paid to the staff is the amount calculated for the days when the training activity is carried out with the partner institution as approved in the training programme / work plan of the staff. If the training activity is carried out on a day that is an official holiday or weekend, the grant is paid if only the activity has been demonstrated on the training programme / work plan as such.
  • ​No grant is given for days without activity or for days in which training activity is not certified.
  • ​The Grant of the staff who participates in the mobility is paid in two installments. 80% of the grant is paid before the mobility. Remaining 20% is paid after the staff returns and submits the "Certificate of Attendance" and "Activity Report" to the International Relations Office.
  • ​Staff can benefit from Erasmus mobility without a grant. In this case, the same application and selection process is applied.
